Fees are VAT INCLUDED. All dates are based on CET (Central European Time) (GMT+1) or CEST (Central European Summer Time) is observed when Daylight Saving Time (DST) is in force (GMT+1 or GMT+2).

Registration is mandatory for all oral and posters presenting authors.

*Local participants must upload the ID Code of the University of Florence.
** On site purchase will be subject to availability.

Proof of STudent Status

Kindly find here below the mandatory requirements that a valid Proof of Status needs to meet:

  • If you choose “Student” category, you should upload a document (student ID, letter, etc.) proving your student status.
  • The document must be in English.
  • The document must contain the full name of the student.
  • The document heading must show the details of the institution.

Please, also take into consideration the following:

  • The Organizing Secretariat will have to review the document and approve it;
  • Invalid Proof of Status cannot be accepted: the STATPHYS29 decision will be final and the registration fee will be automatically updated to the Participant full fee.
Methods of Payments

Payments by Credit card: The following credit cards are accepted: American Express, VISA, MasterCard.

Payments can be made in Euro currency only. Credit card statements will show the vendor/merchant as Triumph Italy Srl and will show the amount in Euro.

Once payment has been confirmed, a summary of the registration will be sent to you via email.

Payments by bank transfer are accepted up to the late fee deadline of June 16th, 2025.

Once the registration has been confirmed, a summary email will be sent. The summary email will include the bank transfer details if you chose it. Please indicate your name and surname and STATPHYS29 as reference on your payment so that we can identify you for confirmation.

Participants who experience difficulties processing their registration payments—whether by credit card or bank transfer, due to regulations in their home countries—are kindly requested to contact the Organizing Secretariat at infostatphys29@thetriumph.com  We will assist you in arranging an alternative cash payment on-site at the conference.

Charges

Bank transfers must not involve charges for the recipient.

Cash payment in Euros will be accepted on-site in Florence.

Chi si registra all’evento e vuole che l’iscrizione venga fatturata ad una P.A. non può assolutamente pagare con la propria carta di credito o con bonifico bancario dal suo c/c, ma il pagamento dovrà essere effettuato direttamente dall’Ente, che dovrà anche fornire entro il 31 Maggio 2025 un documento ufficiale (buono d’ordine) contenente i dati per la fatturazione. Oltre suddetta data non verrà presa in considerazione la richiesta, per cui il partecipante dovrà procedere in autonomia al pagamento della quota di iscrizione comprensiva di iva.

Cancellation Policy

Cancellations received in writing by April 15th, 2025 are entitled to 50% refund, less administrative fees.

Cancellations received  after April 15th, 2025 – no refund shall be due.

All refunds will be made within three (3) months after the end of the event. Requests submitted after this period shall not be considered. Any participant initially registered as an individual, who then received sponsorship by an Industry Company, shall not be entitled to a refund.
Refunds will not be processed in the event that a Visa Application has been refused by an Embassy/Consulate Office.

Special Requests: *Name changes*
It is very important to pay attention during registration process filling all fields properly. Please only use western alphabetical font.
For each amendment request a € 50,00 VAT included will be applied.
Name Change – Category Change** – Invoice Information amendment can be requested via email by the registration owner to the Registration Department not later than May 31st, 2025.
** If a participant replaces another participant who was registered at a lower fee, the new participant will be required to pay the difference between their registration fee and the original one. Early registration fees are NOT transferable.

*Badge re-printing*
On-site, for the re-printing of forgotten/lost/stolen badges, € 50,00 + 22%VAT will be charged.

Important Notes

Participants submitting and paying their registration incorrectly will not be entitled to reimbursement.
This will be applied also to Third Parties/Group Administrator processing the registration for their delegates incorrectly.

These general conditions are to be considered as the legal basis for all registrations. Verbal agreements are not binding, unless confirmed in writing.

Invoices

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process. Should you have any special requests for the processing of your invoice, kindly let us know when submitting your application.

  • Off-line registrations and requests of pro-forma invoices sent by fax or mail are subject to an additional € 30,00 administration charge.
  • Any modification on VAT number or billing address, requested after the issuing of the invoice incurs a € 30,00 administration charge.
Passport and Visa

Participants coming from EU nations and citizens of USA, Canada, Australia and New Zealand, do not need visas to enter Italy. Most NON-EU citizens from other countries will need a visa and, sometimes, either a declaration or a permit of stay to formalize their visit in Italy. Please consult the Italian Embassy or Consulate nearest to you for specific details related to visas and visit the Italian Ministry of Foreign Affairs.

If an entry visa is required, please allow sufficient time for the process. To assist with your visa application, you can request an invitation letter by emailing infostatphys29@thetriumph.com.

The Invitation Letter implies no obligation by the Organizers to cover registration fees, accommodation, travel expenses or any other costs connected with participation in the meeting.

Please provide following information when requesting the Invitation Letter:
Full name (as it appears on the  passport), Date of birth, Nationality, Passport number, Expiry Date.

Liability Disclaimer

In the event of serious special or unforeseen circumstances or serious circumstances beyond its control, Triumph Italy shall be entitled to cancel or modify the dates of the event. You shall not be entitled to compensation for any costs or damages incurred as a consequence of such a cancellation or change.
Triumph will not be liable for any theft or damage to property and/or persons caused on site during the Conference, by any factor whatever, unless there has been a fault, intent or deliberate recklessness on the part of Triumph Italy.
Triumph Italy shall not be held responsible in the event of poisoning or food intoxication during the Event.
We strongly advise participants to take a personal “Cancel For Any Reason” insurance with an insurance company of their choice.

Meals Facilities

Bars and a restaurant area will be available inside the Conference Venue. We strongly recommend the participants to purchase their meals in advance. On site purchase will be possible but subject to availability, therefore cannot be guaranteed.

Please note: every day a different Regular Menu or the Vegetarian alternative will be available.
Each box will contain: 2 sandwiches, 1 fruit, 1 little sweet and 1 canned water.

Buffet Lunch

The Restaurant will be located at Palazzo degli Affari from 14 till 18 July 2024 open from 12.30 till 14.30.
Each day a different menu will be offered with the following courses:

  • 4 main courses (warm and cold)
  • Green Corner with selection of pulses, salads and raw vegetables in combination with 3 types of seeds to choose from Flax, sunflower, chia, sesame, pumpkin, etc.
  • From the baker selection of artisan breads: whole meal, five-grain, Tuscan bread (gluten-free bread on request)
  • Sweets selections and fresh seasonal fruits
  • Soft drinks. Still and sparkling water
  • Espresso and Decaf
